Officer, Helpline Support, Safeguarding & Grievance Management Committee (SGMC)

JOB PURPOSE

This individual will be responsible for maintaining the Helpline Support Service for receiving calls 24/7, coordinating complaint-related communication with the complainant and the complaint management team, tracking complaints and taking initiatives for necessary steps, and following up on complaints to ensure fair justice.

KEY RESPONSIBILITIES

• Handle phone calls, written complaints, and inform callers/complainants about the confidentiality clause.
Verify identity and keep detailed records of documents by providing guidance on queries and forwarding complaints to the appropriate authority. ব্র্যাক ব্যাংক নিয়োগ বিজ্ঞপ্তি ২০২৪

• Maintain logbooks and reports for all calls and complaints

• Prepare observation notes and file them appropriately.

• Filter and forward complaints to the concerned unit as per standard operation and send the miscelaneous complaints to concerned programs.

• Regularly check and manage email complaints following proper procedure, document all related information and filter complaint information according to standard procedures, and inform overall complaint trends to the management.

• Maintain all the logbooks supporting Helpline and complaint management and keep records of every document maintaining confidentiality.

• Conduct follow-up of the complainant as required after the final decision is to ensure the mental state of the complainant, take necessary notes during follow-ups and inform the safeguard grievance management committee about follow-up information (if required)

• Offer psychosocial counseling, medical assistance, or legal assistance and also refer to the concerned unit if required and any other task assigned by management related to follow-up procedure.

SAFEGUARDING RESPONSIBILITIES

• Ensure the safety of team members from any harm, abuse, neglect, harassment, and exploitation to achieve the program’s goals of safeguarding implementation. Act as a key source of support, guidance, and expertise on safeguarding for establishing a safe working environment.

• Practice, promote, and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.

• Follow the safeguarding reporting procedure in case any reportable incident takes place, and encourage others to do so.

ADDITIONAL JOB REQUIREMENTS

• Proficiency in Microsoft Office

• Communication skills in Bangla and English

• Case study writing in both Bangla and English language

• Understanding investigation, inquiry, lact-finding

EDUCATIONAL REQUIREMENTS

At least (01) year of practical experience in grievance management especially complaints of sexual harassment.
